01 / OVERVIEW
One signature, consistently applied.
Many organizations require a standardized email signature across all users to maintain consistent branding, compliance messaging, and corporate identity. The requirement was to implement an automatic signature for all Microsoft 365 users without any manual Outlook configuration.
02 / BUSINESS REQUIREMENT
Central control across every email client.
The solution needed to work in Outlook Desktop, Outlook on the web, and mobile email clients.
03 / SOLUTION
Use Exchange Online transport rules to append the signature.
An organization-wide signature was configured with Exchange Online Mail Flow Rules. This lets administrators append standardized HTML signatures to outgoing messages centrally.
The signature included dynamic Microsoft 365 directory attributes—display name, job title, phone, and mobile—alongside the corporate logo, company links, social icons, and promotional banner.
04 / TECHNICAL APPROACH
- 01Prepare an HTML template
Optimize the signature HTML for broad email-client compatibility.
- 02Host images publicly
Place logo and banner assets on an accessible corporate website.
- 03Create the mail flow rule
Append the signature to messages from internal senders.
- 04Validate directory data
Verify and update Microsoft 365 user profile attributes.
- 05Test real scenarios
Test new messages, replies, forwards, and recipient email clients.
05 / OBSERVED BEHAVIOR
Set clear expectations for the server-side experience.
06 / BENEFITS
Branding consistency without end-user effort.
Administrators manage branding from one place.
Every user sends a common professional format.
No user-side Outlook setup or maintenance.
Corporate information and campaign banners are applied at scale.
Mail flow rules are an effective, scalable choice when centralized enforcement matters most. Organizations should weigh the visibility and placement limitations against the communication experience they want to provide.
